Assess the consult
We review how consults run today and where patients drop out.
ArchCore is how we train coordinators and doctors to present a full-arch plan and the financing with confidence. It is a coaching playbook our account managers run with your team on real consults, not a course someone logs into.
Your consult room is coached on the same three gates the practice is diagnosed against.
Your team is coached individually on your practice, not sent to a group event.
We review your team's actual consults, not role-play alone.
Your coordinator keeps the written consult flow, and the coaching continues on live consults.
One coordinator closes well and another does not, and nobody can say why.
Clinical teams hesitate to talk about cost and financing, and patients feel it.
Without a structure, every consult is improvised and every objection is a surprise.

Your coordinator works through ArchCore with an account manager who has coached this consult before.
A consult flow and objection handling built for full-arch decisions and financing.
Ongoing coaching on your team's actual conversations, not role-play alone.

Dental sales training in a full-arch practice is one consult structure, written down for your practice, then coached on your team's real consultations until the person who owns the money conversation runs it the same way every time.
Dental sales training is usually sold as an event. Someone arrives, the team is energized for a fortnight, and the consult drifts back to whatever it was before. That is a failure of structure rather than of effort: nothing was written down, nobody watched a real consultation afterwards, and no single person owned the conversation once the trainer left.
Full-arch is the hardest version of the problem. A patient considering an arch is making one decision, about a large number, usually with a spouse in the room and almost always with financing involved. Nothing in general dentistry rehearses that conversation. A coordinator who is excellent at scheduling a crown can be completely unprepared for the moment a patient hears the full plan for the first time.
ArchCore is our answer to it, and it is worth being precise about what it is. ArchCore is a coaching playbook: the written consult flow, the objection handling and the financing language for a full-arch practice, run with your team by the account manager assigned to your practice. There is nothing to enroll in and nothing to complete. The playbook stays with the practice and the coaching continues on live consultations for as long as we work together.
Price is the last thing said in a stalled consultation, which is why practices treat it as the cause. By the time a patient says they need to think about it, the decision has usually been lost somewhere earlier, and the practice cannot see where, because the only visible symptom is the ending.
Four things account for most of it.
None of those are closing problems in the way the word is normally used. They are structural, and structure is exactly what a written consult flow fixes. Our guide on Dental Case Acceptance takes the same argument apart at length, and Patient Financing covers how much the outcome changes when the financing conversation happens early instead of late.
Treatment coordinator training, done properly, follows the consultation from the moment the patient arrives to the moment they either start treatment or leave. Every stage has an owner, a job, and a visible signal when it fails.
| Stage of the consult | What the coordinator owns | The sign it broke here |
|---|---|---|
| Before the visit | Knowing why the patient called, what they want back, and what has already been said about cost | The patient arrives with no idea what to expect and the consult starts from zero |
| The first minutes | Establishing what the patient wants from treatment, in the patient's own words | The conversation goes straight to teeth and never reaches motivation |
| The clinical handover | Translating the doctor's plan into what changes for the patient | The patient nods through the plan and cannot repeat any of it afterwards |
| The number | Presenting the full plan and the financing together, without apology | The price is delivered quietly, or delivered by whoever happens to be nearest |
| The objection | Naming the real concern instead of answering the stated one | Every consult ends with the same sentence about needing to think it over |
| The decision | Asking for it, and booking a concrete next step | The patient leaves with a brochure and no date |
The six stages ArchCore works through with a coordinator. A practice usually breaks at one of them, not at all six.
The most useful hour we spend with a new practice is working out where its own consultations break on that list. It is almost always one stage, it is usually the same stage every time, and the practice has usually never been told which one it is.
Whoever owns the money conversation. That is the only rule, and it is worth checking honestly, because in a lot of practices the answer is nobody, or it is whoever happens to be free that afternoon.
You do not need to hire a treatment coordinator to fix the close gate. In most practices the person is already there and has simply never been given a structure. Our Practice Coaching page covers the wider team question.
The playbook is run in a sequence rather than handed over and left behind, and the sequence matters more than the material does.
The account manager is the person running this, and that is deliberate. The same person who can see your advertising, your booked consultations and your started cases in the reporting is the person coaching the consult, so the coaching is aimed at what your numbers are doing rather than at a general theory of selling.
To succeed, train your staff to communicate effectively and share your expertise. This is more than a system; it's your complete training solution.Dr. Wesley, full-arch implant provider
Case acceptance training does not produce a number of its own. It produces started cases, and started cases show up in the return a practice gets from advertising it was already paying for. The practices below are DIM clients. Treatment value is reported by each practice, and return on ad spend is treatment value divided by ad spend.
The six practices we report are set out side by side, with what each figure measures and over how long, in our dental marketing case studies.
Read that table carefully, because the honest reading is not that training produced those returns. Each of these practices fixed a different gate, and several were generating patients well before they were closing them. What the range shows is how much room sits between the lowest and the highest return in the set, 7.4x against 21.2x, across practices all running full-arch advertising. A meaningful share of that spread is decided after the patient sits down.
Closing is the third gate. Training it in isolation is the most common way practices waste the money they spend on it, because a perfectly coached coordinator with no qualified patients in front of them changes nothing.
If you do not know which one is costing you cases, Find Your Gap is five questions and it will name the gate. ArchCore is included in both DIM Generate and DIM Convert, so the training is never a separate decision from the marketing.
Their marketing support has been incredibly helpful, responsive, and customized to fit the unique needs of our practice. They truly take the time to answer all of our questions and continuously tweak the marketing strategy to help us grow and reach the right patients.
Our previous marketing company cost us a significant amount of money, yet we didn't close a single case⦠within just 30 days we were closing major All-on-4 cases in our oral surgery practice.
It's a testament to the power of teamwork and innovation in the field of dentistry. I couldn't have achieved this without the incredible support of my team and the solutions provided by Dental Implant Machine.
